6 Best Practices for Promoting a Webinar

1. Nail the topic and the title

It’s challenging for you to attract attendees if your topic is boring. When planning a webinar, select a topic to attract the right audience base and provide valuable advice to attendees.

Before choosing a topic, conduct research to understand the following:

  • What topics resonate with your target audience?
  • What types of webinars receive high registration and attendance rate?
  • What are the trending topics on social media?
  • Which services or products are most popular?

Once you know the topic, create a title with an obvious takeaway. Some examples of webinar topics can be:

  • [Subject] 101: Learn how to perform social marketing like a pro!
  • The new trend in finance that Warren Buffett swears by
  • How to plan and conduct webinars in 8 steps
  • 10 Ways to increase the productivity of employees

Pro-tip: In your titles, include the keywords you want to rank for to ensure you reach the target audience.

2. Identify the best time to promote your webinar

Did you know that nailing webinar promotion is about getting your timing right?

According to research conducted on thousands of webinars, Tuesdays attract the maximum number of webinar registrations. While Wednesdays and Thursdays also fare well, try to launch and promote your webinar on Tuesdays for the best results.

What’s more interesting is that there is a best time to promote your webinars. Between 8 to 10 am, webinars see a rise in registration.

Why?

Sending emails early in the morning allows you to be at the top of your recipient’s inbox, and it’s usually the first thing that people do when they start their work day. So, next time you plan a webinar, send registration links early in the morning.

In addition, many webinar hosts start their webinar promotion only when it’s around the corner. Launching your webinar at least three to four weeks before the actual date helps to increase webinar registration and attendance.

3. Create a webinar landing page

One of the best promotion tools for your webinar is your landing page.

Your landing page generates leads and encourages sign-up for your webinar.

Typically, your landing page is the focal point of your website promotion strategy, and the focal point of a landing page is the headline.

With eight out of ten customers reading only the headline of a landing page or article, nailing your headline is the key to success with your landing page.

Apart from the headline, ensure to strike a perfect balance between explaining what the webinar is about and highlighting key details such as the date, time, and cost of the webinar. You can even give details about the speaker.

Ensure the voice of your landing page is aligned with the tone of your webinar and keep the total word count on the page to a minimum. You don’t want to greet your customers with a thick wall of text.

4. Use hello bars for webinar promotion

Did you know that even the tiny hello bars or floating bars on your website can be an effective promotion tool?

A separate bar at the top of your web page is a great place to give website visitors a short message, make a positive impression, capture webinar lead details, and direct them to your landing pages.

Depending upon what you’re trying to promote, create a short and crisp sentence with a link to the website landing page. To ensure maximum efficiency, test different sentences to see which resonate with your target audience.

5. Use an exit-intent pop-up

The exit intent pop-up lets you make one last effort to encourage landing page or website visitors to register for the webinar.

These pop-ups use exit-intent technology that tracks the mouse movement of visitors from the moment they land on your website. The technology detects when your website visitor is about to leave the page and displays a pop-up.

Immediate pop-ups have a conversion rate of 1.9%, while exit-intent pop-ups have a conversion rate of 8%, making exit-intent pop-ups a game changer for your webinar promotion.

Pro-tip: When using an exit-intent pop-up for your webinar registration, ensure it shows up where it’s relevant and makes sense. Also, hide the pop-up from customers who have already registered for the webinar.

6. Promote your webinar on social media

Even though most social media posts have a short lifespan, companies leave no stone unturned in vying for potential customers’ attention.

While social media is great for spreading the word about your webinar, try to avoid repeating the same update everywhere. Why?

You have to promote the webinar multiple times in different ways to get the message across to a large audience. Use different messages, images, and voices to reach the largest possible audience.

Another excellent way to promote your webinar is by using paid social media ads to reach your potential customers on different platforms.

While using any social media platform, try retargeting the landing page from past events to reach interested leads.

Pro-tip: When using social media ads, test various ad creatives to learn which increases the webinar registration rate.

Promote your next webinar the right way

When it comes to webinar promotion best practices, taking a holistic approach that focuses on different marketing channels can help you reach a wider audience.

While marketing channels give you webinar exposure, sending the registration link at the right time helps you increase attendance.

For the best results, ensure that your attendees are the center point of the entire process, from deciding on the webinar topic and the flow of your landing page to scheduling social media posts.
